Discuss, consider and take appropriate action on the TechShare Common Integrated Justice System FY2014 Resource Sharing Addendum, Amendment No. 1, and Tyler Technologies' End User License Agreement and Professional Services Agreement.

Background

On 12/10/2013, the Court awarded a contract for "Merchant Credit Card Services RFP#13RFP00112" to Certified Payments, Inc. One requirement in that contract was for the vendor to integrate credit card payments with the County's Odyssey system. This agenda item includes the software licensing agreement as well as the financial plan for this integration.

As you can see on the attachments, the cost for the software is $20,000 (discounted from $100,000 since it is limited only to this single use) and the associated setup, configuration and consulting costs are $18,600. Also, the estimated travel cost is $2,959. Since the software can only be licensed to a County, and not to a private vendor, the County will pay these costs initially (up to $41,559) and the vendor, per their contract, will reimburse the County. The vendor will also pay the pro-rated annual maintenance through FY14. Beginning in FY15, the on-going, annual maintenance cost for this solution -- currently $4,200 -- will be paid by the County.

One final note: All other costs on the Financial Plan (TechShare Amendment) remain the same as previously approved by the Court (1/21/2014) and, as you can see, have mostly already been paid. The only costs added to the financial plan were the software ($20,000) and maintenance ($4,200) costs associated with this credit card integration.
