Discuss and consider extending the implementation of the Williamson County Room Rental Policies and Procedures to Oct. 1, 2009.

Background

On March 10, 2009 Mary Clark gave a presentation to the court regarding the rental of meeting rooms in county owned buildings. Some proposed rules and regulations as well as a consent form and fee schedule including a list of rooms available for rent were reviewed. After comments from the commissioners we have implemented some minor changes, including removing the conference room from the Cedar Park Annex as well as the conference room in the Taylor Annex from the list of rooms available to the public for use. The fee schedule was also adjusted as the court was not in favor of adding any new personnel in the FY 2010 budget to accommodate use after normal county business hours. This item was presented again to the court on April 7, 2009. The court approved the changes and recommended implementation by June 15th, with a 6 month evaluation by the court. We are asking that the implementation of the procedures be delayed until Oct. of 2009. We would like to look at getting a software program that would be efficient for our needs. Currently the Parks and Rec. Department is using "CLASS" software for booking of county parks, softball fields, tennis courts and soccer fields. We have had several meetings with the committee as well as with the IT department and feel it would be in the best interest to look at all the options available and also have sufficient time for training the individuals that would be responsible for booking the rooms. We are also looking at different options for providing security to the buildings during after hour meetings.
