Discuss and consider approving a line item transfer for the Veteran Services Office.

Background

Veteran Services has requested funds to acquire the VetRex database software for the last three budget cycle in order to make the department more efficient and cut down on storage issues. Currently, all files are paper files, located dowstairs in 16 filing cabinets. We have now run out of both room for the files, necessitating the ordering of new file cabinets, and room for the cabinets in the file room. We budgeted last year for several more file cabinets, but would have to locate them in a different location from the rest of the files, making it difficult to access information easily. We have begun purging what files we can and sending them to storage. This is only a temporary fix. The software program would allow us to scan documents into the program, reducing the amount of paper generated and would allow our counselors to be more efficient in communicating with clients without the delay of having to pull the file from dowstairs prior to returning the call.
We are requesting that the funds already budgeted for filing cabinets plus funds from our miscellaneous fund, be utilized to pay for the initial software purchase. The continuing annual cost of $499 has been budgeted for in the 2011-2012 budget allocation.
