Discuss and consider approving a line item transfer for the County Attorney
Background
This item was tabled on the 3/20/12 agenda as the court required additional information.  See below... this was the response from Randy in the CA's office.  It appears, based on his response, that all repairs are considered routine in nature and would not fall outside the normal scope of maintenance.  With that said, it looks as though the budget requested for the vehicle maintenance line item was simply not enough.  This transfer should remedy the shortfall for the fiscal year.



I do not see anything unusual in the maintenance of these vehicles. The County Attorneys fleet is getting older and as it does the vehicles require more preventive maintenance as per the manufacture specifications. I only see one repair that could be considered unusual, replacing the instrument cluster (dash board) on AA0471 Nov 2011 for $300.

They informed Fleet they were running out of money earlier this month. Rex and I put together an estimate of costs for them based on what we see coming in preventive maintenance, and projected tire and brake costs (attached). As you can see this is more than the entire budget for the year. These items will become realized expenses it’s just a matter of time and mileage.

I don’t know what this department budgeted last year but I think it may have been the same amount. The budget for maintenance will need to increase each year as your fleet gets older. I see they budgeted $2,000 this year for (5) vehicles which is $400 per unit. This is too low in my opinion, one set of tires for a Charger is $600 and a “C” level service which comes every few years is about $300. You can see from the attached matrix that they have (2) more “C” level services coming up this year and tires will be wearing out.
